All families who participate in the New York Society of Play programs consent to the following:
Registration / Payment
By bringing my child to the New York Society of Play’s programs and registering on the New York Society of Play’s website, I am committing to pay for all sessions attended within 24 hours following my child’s attendance at those sessions. In cases where I have not reserved a drop-in and I have not paid within 24 hours of attendance, I agree to let the New York Society of Play charge me for these services, first using any drop-in credits, and then charging me directly.
I understand that, once per annual quarter, I may receive a partial refund equivalent to a single day’s attendance if my child is sick, but that additional sick days will not be reimbursed. For the purpose of this policy, annual quarters are as follows: Jan/Feb/Mar, Apr/May/Jun, Jul/Aug/Sep, Oct/Nov/Dec. I understand that unused sick days do not accumulate.
In cases where I wish to cancel my subscription or other purchase, I understand that I must do so more than 48 hours (2 days) before my next session is due to begin if I want to receive a refund on that session.
I understand that there may not be room if I try to reserve a seat less than 48 hours before a session starts.
Private Game Groups
I understand that private game groups require 5-6 participants (4-5 participants for Jr. groups) to meet capacity. If my child’s private game group has fewer than 5 participants (4 participants for Jr. groups), the following policies will apply:
- If my child’s private game group is below capacity for less than two weeks, I reserve the right to refer new participants to the group before the additional group seats are offered on the child activity marketplace (Sawyer).
- If my child’s private game group is below capacity for more than two weeks, New York Society of Play reserves the right to offer additional seats on the child activity marketplace (Sawyer).
If I choose to attend a private game group using drop-in sessions instead of a monthly membership, I understand that I must reserve at least two drop-ins per month in order to maintain my child’s spot in their private game group. If my child does not attend at least two drop-ins for the month, I understand that they may lose their spot in their private game group.
Class Cancellation Policy
If a class has one or fewer signups, The New York Society of Play reserves the right to cancel classes no more than three hours before it begins. If your child is registered for a class that has been cancelled, the New York Society of Play will either switch your child to a class of equivalent value based on your request or refund you for the full amount of the class.
I grant the New York Society of Play permission to use my reviews for promotional and other purposes, and to mention highlights from my child’s activities (e.g. “Thomas went on such-and-such an adventure in Dungeons & Dragons and did this and that”) as long as the name is changed (e.g. “Thomas” might actually be named “Sam” in real life).
I grant the New York Society of Play permission to share my contact information with other companies to the extent that this is necessary for billing purposes and other activities.
Allergies and Other Health Concerns
By agreeing to this policy, I affirm that I have informed the New York Society of Play of any severe allergies my child may have, and I have provided New York Society of Play with the means to manage these allergies such as medication or a medical device, along with detailed instructions for their usage.
I likewise affirm that I have informed the New York Society of Play of any other health concerns which they should be aware of (epilepsy), and I have provided New York Society with the means to manage these concerns if necessary (e.g. medication), along with detailed instructions for their usage.
Safety and Liability
I understand that participation in interscholastic and other voluntary after school athletics includes risk of injury that may range in severity from minor to disabling to even death. Although serious injuries are not common in supervised school athletic programs, it is impossible to eliminate the risk.
I understand that my child’s participation in the New York Society of Play’s programs is voluntary and that my child and I are free to choose not to participate. I consent to my child’s participation in any of the approved activities checked above. I understand that the New York Society of Play, its employees, officers, and agents will not be liable for personal injuries and/or property damage as a result of my child’s participation in such programs or activities.
I, on behalf of myself and my minor child, agree to release, hold harmless and indemnify the New York Society of Play, their employees, officers, and agents, from any loss, cost, damage and/or expense of any nature, including all attorneys’ fees and costs which I or my child may have resulting, either directly or indirectly, from my child’s participation in the New York Society of Play’s voluntary athletic or extracurricular programs or activities.
I give permission for our child to participate in all school activities, and do forever release the New York Society of Play and its teachers, staff, volunteers, and agents from any and all actions, all known and unknown personal injuries or property damage of said minor arising out of said activities, and also all claims or right of action for damages which said minor has or hereafter may acquire.
Some programs may entail a modification of our usual Workshop Policy. If this is the case, then you will receive a waiver which explains the modifications or additions.
This policy may be revised in the future, especially when COVID ceases to be a concern and NYSoP begins to conduct in-person activities again. If you are currently participating in NYSoP activities then you will be emailed a notification, which will explain (1) what has been changed and (2) why it was changed.
